Job Description

We are currently looking for an extremely organized and proactive individual to join our firm. As an integral part of the team, you will be responsible for managing all administrative processes and ensure that all clerical matters are followed up to meet the team’s needs.

Key responsibilities

·         Acts as a first point of contact dealing with correspondence and phone calls and controlling access to the Partner. Assists the Partner with daily administrative duties and completes a broad variety of administrative tasks that include managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.

·         Acts as the point of contact and communicates with the general staff and clients on the Partner’s behalf and coordinates logistics with high-level meetings both internally and externally.

·         Plans, coordinates and ensures the Partner’s agenda is followed and respected. Provides ‘gatekeeper’ and ‘gateway’ role, creating win-win situations for direct access to the Partner’s time and office.

·         Researches, prioritizes and follows up on incoming issues and concerns addressed to the Partner including those of sensitive and confidential nature. Determines appropriate course of action, referral or response.

·         Conducts research on prospective clients to identify and evaluate current needs and assembles materials needed for the proposals.

·         Works closely and effectively with the Partner to keep him well informed on upcoming commitments and responsibilities, following up appropriately.

·         Drafts emails, reports, proposals; prepares and coordinates oral and written communication with clients.

·         Successfully completes critical aspects of deliverables with a hands-on approach including drafting acknowledgement letters, personal correspondence and other tasks that facilitate the Partner’s ability to effectively lead his/her business.

·         Builds relationships crucial to the success of the firm and manages a variety of special projects for the Partner which have organizational impact.

·         Prioritizes conflicting needs; handles matter with efficiency, proactively and follows through on projects to successful completion, often with deadline pressures. Handling confidential matters with discretion.

Required Qualifications

 Strong work tenure 1 to 10 years of experience supporting C-Level Executives, preferably in a similar industry

Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)

Exceptional standard of written and verbal English.

Human resourses experience.
