Job Description

Summary position objective:

·       Coordinate property sale, rental and management through liaising with clients, property owners, agents and developers. Gather necessary documents and information from property affiliates at various committees, land registry, architects and any other party involved in the process of property maintenance and management.

Duties and responsibilities:

·       Liaise with property owners and potential clients as regards long-term rental, by arranging photographs, viewing, pricing, contract signature, property maintenance and cleaning, rental payment, deposit, welcome letter, status, inventory and delivery date;

·       Collect information and documents related to the property long-term rental and pass these along to the Administration Department in order to prepare the rental contract;

·       Inspect the property and ensure all goods are in working condition prior to the tenants’ move; if the property is damaged, inform the tenant and secure his signature, prior to arranging for the damage to be fixed and paid;

·       Provide the new tenants with a set of keys, remote control and access cards, emergency numbers and related contacts, water and electric meter consumption, bills settlement and transfer;

·       Settle all commissions to the real estate agents involved in every rental or sale process;

·       Manage the property by collecting the management fee from its owner, paying him the rent and providing him with a statement;

·       Follow-up with the status of utility bills, pay property taxes, capital gains tax, refuse collection; coordinate repairs, arrange for cleaning, inspection and advertisement;

·       Collect properties for sale or rental by coordinating photo shooting, listing, advertising, tracking availability and agreeing with its owners over services proposition;

·       Cooperate with real estate agents, developers and construction companies, in order to visit their projects, collect brochures and leaflets and maintain a communication for future prospects;

·       Handle potential clients’ enquiry by coordinating with them, understanding and searching for their needs, meeting them and building a trusting relationship, arrange viewing and assist in decision making;

·       Maintain all records up-to-date and keep documents in a safe location at the Company premises;

·       Prepare, issue, follow-up and file the Company’s Invoices and Receipts in order to keep the database and client information in order;

·       Create strong business affiliations with the real estate network and its suppliers;

·       Attend related exhibitions, conferences and networking events as and when required, for business continuity;

·       Stay informed of the latest industry news and solutions for clients, as well as world business news and trends;

·       Perform any other duty as required for the flow of business and smooth teamwork.

·       Clients are asking and receiving property management and maintenance support;

·       Property owners are satisfied with the professional level of property management and are seeking further agreements;

·       Property management solutions are customized to fit every client and property owner’s needs;

·       Real estate agents, suppliers and all affiliates are maintaining a very good relation and communication at all times;

·       The process of property viewing and agreement is smooth and to the point, without any delays or misunderstandings;

·       Properties are prepared, inspected, cleaned, damage is repaired and bills /rental/ deposits are paid;

·       Clients issues are anticipated and resolved in due time;

·       Projects are successfully completed and delivered within the set time frame and budget;

·       Clients’ satisfaction and retention is progressively achieved.

Required Qualifications

Background and education:

·       Holder of a Degree in Business Administration or Real Estate, or any other related university degree will be considered as an advantage;;

·       Advanced knowledge of Microsoft Office, Word, Excel, Power Point;

·       Advanced Greek and English language skills are required;

·       Russian language knowledge is considered an advantage.
