Job Description

Woodbrook Group is looking to recruit a Receptionist to join our team in our offices in Limassol.

Duties and Responsibilities:

Telephone and visitors

▪       Answer all incoming calls and handle caller’s inquiries whenever possible

▪       Re-direct calls as appropriate and take adequate messages when required

▪       Retrieves messages from voice mail and forwards to appropriate personnel in writing

▪       Arrange for voice mail recordings when the office is closed

▪       Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail

▪       Greet, assist and/or direct visitors

▪       Maintain and coordinate a schedule of meetings in conference room

▪       Fulfil all reasonable requests from guests to ensure their comfort and satisfaction

▪       Maintain the reception area and conference area clean and ready to be used ensuring that confidential information is not on display

Mail, Messenger and Courier

▪       Arrange for posting and collecting mail

▪       Receive, sort and forward incoming mail

▪       Coordinate the pick-up and delivery of express mail services (DHL, FedEx, UPS, etc.)

▪       Coordinate messenger’s pick-up and delivery

▪       Maintain a record of the external messenger’s jobs

▪       Prepare courier/messenger monthly expenses report

Other administrative work

Provide administrative support to the Directors and other members of the company such as:

▪       Draft letters

▪       Copy

▪       Scan

▪       Arrange meetings or conference calls with third parties

▪       Prepare courier documents

▪       Send an email to all members updating with matters of general interest

▪       Monitor the ordering, receiving, stocking and distribution of office supplies and equipment

▪       Coordinate the repair and maintenance of office equipment

Job Requirements:

▪       2-4 years of experience

▪       Excellent communication and client relationship skills

▪       Organizational and time management skill

▪       Ability to work methodically, accurately and neatly

▪       Excellent oral and written communication skills in both English and Greek

▪       Strong Computer skills

This position is based in Limassol for Full Time employment.
